Zixlabs PharmaScan ("PharmaScan", "the app") is developed and published by Zixlab Ltd, a company registered in England and Wales.

2. Scope of this policy

This policy explains how information is handled when you use PharmaScan. It applies to the mobile application and to privacy enquiries sent to Zixlab Ltd about PharmaScan.

It does not replace the privacy terms of your device manufacturer, mobile operating system, Apple App Store, Google Play, employer, or any other third-party service you choose to use.

3. Camera access and scan processing

PharmaScan requires camera access to perform functions such as GS1 DataMatrix scanning, carton and leaflet Pharmacode scanning, and engineering optical character evaluation.

Camera frames used for these functions are processed for the requested task. PharmaScan is designed so that normal barcode and optical-character analysis is performed on the device. Zixlab Ltd does not operate a remote image-processing service that receives those camera frames.

Camera permission can be withdrawn at any time using your device settings. Scanning functions that require the camera will not operate while permission is denied.

4. Scan results, history and settings

PharmaScan may store scan results, scan history, preferences and application settings locally on your device so that they remain available between sessions.

Depending on the code being scanned, a result may contain pharmaceutical packaging information such as product identifiers, serial numbers, lot or batch information, and expiry information. Users are responsible for ensuring that material scanned with PharmaScan is appropriate for their organisation and does not contain information they are not authorised to process.

Zixlab Ltd does not receive the contents of locally stored scan history through a Zixlab-operated server.

5. Accounts and personal information

PharmaScan does not require a Zixlab account and does not require you to provide your name, postal address, telephone number or other profile information in order to use the scanning functions.

If you contact Zixlab Ltd for support or a privacy enquiry, we will receive the information you choose to provide, such as your email address, message and any diagnostic information or attachments you voluntarily send. We use that information to respond to the enquiry, provide support, protect our legal interests where necessary, and improve the product.

6. Network use, analytics and advertising

The core PharmaScan decoding workflow is designed to operate without a live internet connection. At the date of this policy, Zixlab Ltd does not provide advertising through PharmaScan and does not operate a Zixlab cloud service for storing users' scan images or scan-history content.

The app includes third-party software libraries and relies on operating-system and app-store services. Those providers may process limited technical, security, installation, purchase or diagnostic information under their own terms and privacy policies. Where app-store rules require disclosure of such processing, Zixlab Ltd will reflect the applicable information in the relevant store privacy or Data Safety declaration.

7. Data sharing and sale

Zixlab Ltd does not sell PharmaScan users' personal data and does not share scan-history content with advertisers.

Information provided directly to Zixlab Ltd may be disclosed only where reasonably necessary to provide support, comply with law, protect legal rights, prevent misuse or security threats, or use professional advisers and service providers subject to appropriate confidentiality and data-protection obligations.

8. Retention and deletion

Locally stored PharmaScan data remains under the control of the device user. Local history and settings may be removed using available app or device controls, by clearing application data where the operating system supports it, or by uninstalling the app. Device or cloud backups provided by Apple, Google or your organisation may be governed by separate settings and policies.

Support and privacy correspondence sent directly to Zixlab Ltd is retained only for as long as reasonably necessary for the purpose for which it was received, including support, security, legal and record-keeping requirements.

9. Security

Zixlab Ltd applies reasonable technical and organisational measures appropriate to the nature of the app and the information handled. No mobile device or electronic storage method can be guaranteed to be completely secure, so users should also apply appropriate device security, access controls and organisational procedures.

10. Professional and workplace use

PharmaScan is intended as an engineering and QA evaluation tool. It does not replace validated production equipment, approved procedures, qualified personnel or independent verification.

If PharmaScan is used on a device managed by an employer or other organisation, that organisation may apply its own privacy, security, mobile-device-management, retention and monitoring rules.

11. Children

PharmaScan is a professional engineering and pharmaceutical-packaging utility and is not directed at children. Zixlab Ltd does not knowingly design the app to collect personal information from children.

12. Your data-protection rights

Where Zixlab Ltd processes personal data about you directly, applicable UK data-protection law may give you rights including access, correction, deletion, restriction, objection and, in some circumstances, data portability. The availability of a particular right depends on the circumstances and legal basis for processing.

You can exercise applicable rights by contacting hello@zixlabs.co.uk. You also have the right to raise a concern with the UK Information Commissioner's Office if you believe your data-protection rights have been infringed.

13. Changes to this policy

We may update this policy when PharmaScan functionality, third-party components, legal requirements or our data-handling practices change. The current version will be published at this URL and the effective date above will be updated when appropriate.
